WHAT WE COLLECT
SubmittalFlow (operated by Emerald Developers) collects only the information needed to track construction submittals and notify reviewers: name, email address, phone (optional), company, role, and the files and notes you upload as part of a submittal.
HOW WE USE IT
Your information is used solely to operate the submittal workflow on projects you are assigned to — sending notifications, displaying ball-in-court, and storing review history. We do not sell your data, share it with marketers, or use it for advertising.
WHO CAN SEE IT
Submittal data is visible to the project's General Contractor, the named reviewers on each submittal's chain, and the submitting subcontractor for their own submittals. Emerald Developers staff with administrative access can see all data for support and platform operation.
STORAGE & SECURITY
Data is stored on Supabase (a secure cloud platform). Files are transferred over HTTPS and stored in a private bucket. We use short-lived signed URLs so file links expire automatically.
RETENTION
Submittal records are retained for the life of the project plus 7 years for construction industry compliance. You may request deletion of your account at any time by emailing the GC; submittal records may be retained in archived form for contractual reasons.
YOUR RIGHTS
You may request a copy of your data, correction of inaccurate data, or deletion (subject to retention limits above) by emailing the GC at sara@emeralddevelopersny.com.

ACCEPTANCE
By accessing SubmittalFlow you agree to these terms. SubmittalFlow is provided by Emerald Developers for the management of construction submittal workflows on its projects.
ACCESS & ACCOUNTS
You are responsible for the security of your account credentials. Do not share your login. Report any suspected unauthorized access to the GC immediately. Accounts are personal — do not use someone else's account.
ACCEPTABLE USE
You agree not to: upload malicious files; attempt to bypass access controls; impersonate another user; upload content for which you do not hold the rights; or use the platform for purposes unrelated to legitimate submittal review.
CONTENT
You retain ownership of files and notes you upload. You grant Emerald Developers a limited license to display, store, and transmit that content as necessary to operate the workflow. The GC has the final authority over which submittals are accepted, rejected, or removed.
NO WARRANTY
SubmittalFlow is provided "as is." We make no warranty that the platform will be uninterrupted or error-free. Construction decisions should be confirmed against signed-and-sealed drawings and contractual approvals — not solely against an app status field.
LIMITATION OF LIABILITY
To the maximum extent permitted by law, Emerald Developers is not liable for any indirect, incidental, or consequential damages arising from your use of the platform.
CHANGES
We may update these terms; we will notify users by email when material changes apply.
